These terms explain how our website and our managed corporate headshot programs work, and what we each expect from the other.
Acceptance Of These Terms
By accessing or using the Headshots in a Minute website, requesting a quote, or engaging our managed corporate headshot programs, you agree to be bound by these Terms and Conditions. If you do not agree with any part of these terms, you should not access the website or use our services.
If your organization signs a separate written agreement or confirms a formal quote with Headshots in a Minute for a corporate headshot program, the terms of that signed agreement or written quote can add to, modify, or override these general terms for that specific program.
Our Services
Headshots in a Minute provides managed corporate headshot programs for organizations with teams, events, and multiple locations nationwide. Our offerings include our flagship QR Pro On-Site Headshot Studio™—photographed live, enhanced with AI, and delivered to each person by a unique QR code in under a minute—as well as the Connected Team Headshot Program™ for distributed offices and ongoing team onboarding.
Programs are delivered nationwide through our network of professional photographers and managed by our proprietary technology platform. Service availability is confirmed per request and depends on date, market, studio setup, and overall project scope. Headshots in a Minute does not provide general consumer photography, family portraits, or wedding photography.
Quotes And Agreements
Every corporate headshot program is custom-scoped to match your attendee volume, event timeline, venue footprint, and delivery requirements. Submitting an inquiry or quote request through this website does not constitute a confirmed booking.
We respond to quote requests within one business day. A program is officially booked only once we confirm it in writing and both parties agree to the scope. The specific scope of work, date and schedule, deliverables, participant estimates, and fees are defined solely in your written quote or signed program agreement. In the event of any direct conflict between these general terms and your signed agreement, the signed agreement prevails.
Client Responsibilities
To ensure a smooth, professional production on-site, the booking organization agrees to provide our production team with timely venue access, adequate physical floor space, dedicated electrical power, and an on-site primary contact person throughout the event.
The client organization is responsible for informing attendees in advance that professional headshots will be taken and explaining how images will be distributed. The client also decides who participates, ensures individuals are authorized and permitted to be photographed, determines how headshots are used within company systems, and sets how long its organization's library is retained, as described in our Privacy Policy. Our services are intended for business organizations and adults; where any participant is a minor, the client organization is responsible for obtaining any required parent, guardian, school, or organizational permissions. Any requests to change the program date, timeline, venue location, or participant volume must be submitted in good time and may adjust the final quoted fees.
Guests And QR Photo Delivery
Individuals photographed during our sessions receive a personal pass featuring a unique QR code. Scanning this code opens their private image portal where they can view and download their finished headshot directly to their phone or desktop.
Each QR code is personal and private to the recipient. Guests are advised to keep their pass secure and should not intentionally share another participant's private link or code. Guests should download their high-resolution headshots promptly, as image delivery links may expire or be archived as specified in the client program agreement and our Privacy Policy.
Any guest may request the removal of their photograph and associated records within a reasonable time as detailed in our Privacy Policy, by calling 617.800.9457 with their name, organization or event name, approximate date, and QR photo number. Requests are handled as set out in our Privacy Policy, and we may verify identity before releasing or deleting photographs. Deletion is not instant or unconditional.
Photos And Rights
Guests and the booking organization may use the delivered headshot files for their legitimate professional and personal purposes, including internal company directories, email signatures, executive bios, organizational websites, conference badges, press kits, and professional social media profiles such as LinkedIn, subject to the client's internal company policies and program agreement.
Headshots in a Minute, our platform, and our collaborating photographers retain all proprietary rights, title, and interest in our underlying technology, camera rigs, proprietary software, delivery workflows, and operational processes. Any use by us of session images for portfolio or case-study purposes is governed strictly by the client's written program agreement, and we never claim ownership of your personal likeness or identity.
AI Enhancement
Our studio workflow uses automated artificial intelligence processing to calibrate professional studio lighting, balance color and skin tones, maintain cross-team consistency, and apply subtle professional retouching in real time. The objective is always a polished, natural portrait where you look like yourself on your best business day.
Because automated enhancement operates on live capture in diverse venue environments, results may vary depending on ambient conditions, apparel, and posture. We do not guarantee a specific subjective artistic outcome for every individual. If an attendee feels an image requires adjustment, they may request a review during the session, and retakes may be performed if the client program schedule and scope permit.
We do not sell employee headshots for AI training, and we do not intentionally use client or employee headshots to train public generative AI models without appropriate authorization. We do not intentionally create facial-recognition profiles. For additional details regarding our automated processing and data handling practices, please refer to our Privacy Policy.
